Job Description Summary

Responsible for assisting with the with day-to-day operations of the retirement plans (defined contribution, defined benefit, and retiree medical). Including speaking with plan participants, generating distribution paperwork, and the processing of payments. Keeps the retirement files maintained in preparation for audits and keeps the retirement system updated. Also supports the reporting and audit requirements of governing the retirement plans.

Essential Job Functions

  • Assists the Operations Manager and Plan Administrators in performing audits to ensure data accuracy with record keeper and HR Systems.

  • Prepares future retirement benefit letters for non-retiring employees. Finalizes elections and requests payment from the plan trust for those employees who elect to receive a benefit.

  • Supports Retirement Plan Administrators with retirement questions and policy interpretations.

  • Enters data into the various retirement databases (JP Morgan Chase, Buck, ADP, Mercer) and PeopleSoft.

  • Generates benefit election packets for plan participants requesting a distribution of funds.

  • Maintains retirement files for audit.

  • Advises employees of their retirement options; finalizes the elections; and requests the distributions from the Trustee.

  • Completes the various letters and reporting as required under US retirement plans.

Other Job Duties

  • Completes the internal controls, audits, and reviews required to ensure accuracy of all retirement plan transactions

  • Maintains and orders office supplies for the department.

  • Checks mail for incoming information and sends out mail (including FedEx) when appropriate.

  • Responds to inquiries from the SSA, retirement living centers, or other agencies regarding plan participants.

  • Maintains retirement log.

  • Performs other duties as assigned.


Required Experience

  • Requires basic job knowledge of systems and procedures obtained through prior work experience or education.

  • Requires 3 years minimum experience.

  • May require vocational or technical education in addition to prior work experience.
