Job Description Summary

As part of the Policies and Procedures Program Office, the Senior Program Officer will be supporting the department activities (document review and publication, reporting to bank internal committees, support exemption and exception, SharePoint administration, monitor processes such as business continuity plan, records and information management or risk and control self-assessment, etc.).

This department is an enterprise wide department and is partnering with all of Bank of the West Businesses (Retail, Commercial) and Support Functions (IT, Risk, Compliance, etc.). It is a cross-functional and coordinated team responsible for facilitating and governing Enterprise Governance Document lifecycle management.

Responsible for oversight of all policies, procedures and charters related to multiple teams. Partner with leaders (business and function policy administrators) across the Bank's footprint to drive expected operational results through project management and governance, planning, and process improvements. Exercise sound business judgment in managing the initiation, planning, and execution of assigned tasks.

Essential Job Functions

  • Oversee one or more Bank documents (policies, frameworks, programs, procedures, standards, and charters) through collaboration with business partners (such as Compliance, IT, Risk, Information Security, Legal, HR, etc.). Lead cross-discipline teams to establish integrated plan to deliver on program goals and objectives. Maintain documentation database.

  • Identify business segment needs. Oversee and manage related programs and projects impacting program success. Track and monitor program status and metrics to ensure milestones are met, including internal and external delivery commitments.

  • Ensure ongoing communication of progress against program objectives.

  • Prepares materials for review by Executive Management prior to approval and publication.

  • Recommend program key performance indicator (KPI) reports and report enhancements. May utilize segment and market intelligence for operational improvements and goal setting.

  • Support exception and exemption process, challenging the legitimacy of the request prior to make a recommendation for execution

  • Manage risks and dependencies on program goals and objectives.

  • Proactively identify and resolve issues and make recommendations for improvements to existing processes.

  • Develops, conducts, reviews, and edits business process change controls and/or procedures to ensure consistency, quality, and accuracy.

Other Job Duties

  • Ensure the product development process abides by all defined cross-discipline standards and all compliance and regulatory requirements.

  • Provide information and recommendations to partners as appropriate.

  • Support team SharePoint site (workflow and access management, document publication, etc.)

  • Performs other duties as assigned.

Qualifications

Required Experience

– Requires deep knowledge of job area typically obtained through advanced education combined with experience.

  • Typically viewed as a specialist within discipline.

  • May have broad knowledge of project management.

  • Requires 7 years minimum prior relevant experience.

Education

  • Bachelor's Degree

Skills

  • Strong collaboration skills with both technical and non-technical groups, attention to detail, superior organization skills, and successful experience developing and implementing functional processes are necessary.

  • Project management, process mapping/enhancement

  • Detail oriented, resourceful, creative problem solver.

  • SharePoint knowledge
